    The annual ledger

What a Dubai mansion really costs to run each year

The acquisition is one decision. The annual operating brief is another.

    The short answer

There is no useful universal running-cost figure for a Dubai mansion. Build a home-specific budget from community charges, utilities, household staff, pools, gardens, maintenance and insurance. Separate the cost of keeping the property ready from the extra cost of occupying it, and keep major replacements outside the ordinary annual operating total.

    Your circumstances. Your answer.

    Live-in household

    01 / The detail

The purchase price does not describe the household

Two homes with similar asking prices can have different operating needs. A large garden, several water features, extensive glazing or a heavily staffed household can change the work involved. The standard of service you expect also matters: a seasonal family residence is a different brief from a home prepared for frequent entertaining.

Start with the physical property and then describe the household. Record built-up area, plot, landscaped area, pools and the systems installed. Separately record occupied months, regular residents, guests and the roles you want in the home. Do not assume the seller’s lifestyle matches yours.

A credible budget explains what it covers. It should say whether it includes community charges, normal repairs, staff accommodation, insurance and irregular works. Otherwise a low annual headline may simply be an incomplete list.

Build a ledger rather than a single estimate

Group the recurring bills into community charges, utilities, staffing, pool care, landscaping, maintenance and insurance. For each line, record the billing basis, contract period, evidence and exclusions. A rate per unit of area cannot be compared directly with a fixed annual service contract.

Ask for a complete recent billing period where records are available. Utility statements should be read alongside occupancy and any unusual works. A home used lightly by one owner may consume differently when fully occupied. A supplier’s quote is useful, but it should state the specification and services it assumes.

Keep one-off purchase costs out of this ledger. Furnishing, refurbishment, equipment upgrades and acquisition charges answer different questions. Combining them with ordinary operating expenses makes it harder to understand what you will pay again next year.

    What to check

    • Community charge statement and billing basis
    • Utility records with occupancy context
    • Supplier contracts, scope and exclusions
    • Insurance schedule and declared coverage
    • Separate list of one-off works

    03 / The detail

An empty home is still an operating home

Leaving for the summer does not make the property cost-free. Some obligations continue regardless of occupancy. Others may change with use, contract terms or the way the house is maintained during an absence. Those adjustments should come from evidence rather than applying the same discount to every line.

Prepare an absence plan with the people who will care for the property. Discuss climate settings, inspections, water systems, garden and pool routines, security and the response to faults. Ask the insurer and relevant suppliers about any requirements that affect cover or maintenance arrangements.

The estimator separates occupied months from the other inputs for this reason. It will only apply an occupation adjustment when its source and billing basis are confirmed. A seasonal owner still needs a clear annual responsibility and reporting plan.

    04 / The detail

Staffing is a service plan, not just a headcount

List the roles you need before assigning costs. A house manager, chef, driver, nanny and housekeeper do different work. Consider coverage during days off, travel, guest stays and the owner’s absence. A household can be understaffed despite a large headcount if the required responsibilities are not covered.

A staffing budget should distinguish remuneration from other obligations and benefits that may apply to the chosen employment arrangement. Ask a qualified provider for a written scope, responsibility split and current requirements. We are not publishing a salary scale or sponsorship fee without an appropriate source.

The home itself also affects the plan. Staff accommodation, service access, storage, laundry and kitchen layout should be reviewed during due diligence. These details are less visible in a sales brochure but important to whether the household can run smoothly.

    05 / The detail

Allow for repairs without pretending to predict them

Routine servicing and a major equipment replacement are not the same expense. Ask for system ages, service records, warranties and a professional condition review. Air conditioning, pumps, waterproofing and other installed systems should be examined for their actual condition rather than judged from the age of the house alone.

Keep a separate capital reserve or works plan for larger replacements and improvements. Its size is a property-specific decision, informed by condition and your intended upgrades. A convenient percentage of the purchase price is not a substitute for knowing what needs attention.

Finally, label uncertainty. A cost sheet can show a confirmed contract amount, an indicative supplier quote and an item still awaiting inspection. That is more useful than a precise-looking total assembled from unrelated estimates. We can help turn the selected home’s records into a budget for your intended use.

    What to check

    • Condition survey and system service history
    • Warranty coverage and expiry
    • Planned works separate from recurring bills
    • Named owner of each unresolved cost item

    Common questions

Can you estimate costs from the villa’s purchase price?

Purchase price alone is not enough. The property’s systems, community, landscaping, staffing plan and use pattern need to be assessed separately.

Do running costs stop while I am abroad?

Do not assume they stop. Review each charge and contract, then agree an absence and maintenance plan. Occupancy adjustments should be supported by the relevant records.

    Does the estimator include refurbishment?

The recurring operating categories are separate from refurbishment and major replacements. Those need a distinct home-specific works budget.
